Interested in volunteering?

CFC is always looking for more help for our convention! Currently, convention management is divided into eight different departments with volunteers working under an established department head. The departments are as follows:

EVENTS (Staff Needed)
This department is responsible for all organization of events and activities at the convention. These events include panels, main stage performances, opening and closing ceremonies and the charity auction. In addition, should the opportunity present itself, they will also manage off-site events at other venues if fun opportunities for our convention arise.

OPERATIONS, LOGISTICS AND ACCESSIBILITY (Staff Needed)
This department handles all logistical management, movement and storage of assets, preparation of rooms and event spaces between departments and accessibility management for members with additional needs.

SECURITY AND SAFETY (Staff Needed)
This department is responsible for convention security management, medical response, general convention safety measures and working with emergency services in the event that any unforeseen incidents occur. We will likely be contracting for official security bouncer duties, this department will oversee and work with our contractors.

INFORMATION TECHNOLOGIES (Staff Needed)
This department is responsible for the corporation website, data assets and general management of communication platforms, such as Discord.

A/V & STREAMING (Staff Needed)
This department is a specialized department responsible for all audio and video related equipment set up for convention space events. Additionally, this department screens and schedules performers in conjunction with the Events department.

PUBLIC RELATIONS (Fully Staffed)
This department is responsible for social media accounts and assets as well as being responsible for any interaction with media influencers or outlets.

VENDOR RELATIONS (Staff Needed)
This department is responsible for organizing, managing and preparing all vendor spaces for third party vendors at events.

ARTS, PUBLICATIONS, MERCHS (Staff Needed)
This department is responsible for the creation and distribution of of art assets, publications and merchandise for other departments. This department also manages the convention theme and merchandise section of the website.

CFC does accept voluntary non-staff donations for assets. Please reach out to our staff team if you are interested in donating assets or a consulting role. Please note that consultants or donors will not be eligible for volunteer benefits, but your assistance is much appreciated!

Volunteer Expectations

Here at CFC we’re trying to keep out convention as organized as possible to provide our volunteers with a good volunteering environment that’s stress free. We’re frontloading a lot of work and planning on our end to have convention plans in place well in advance of the convention so we can be flexible with changes if the need arises. To that end, we do need to set some expectations of what we need from our volunteers:

(A) All work conducted at CFC is voluntary in nature, including work conducted by our board and department heads. As a result we will not be providing compensation for hours worked. We will provide compensation for out of pocket expenses approved of by the board chair.

(B) We do need all volunteers to participate and dedicate a few hours a week and be active in communication. Volunteers who are volunteering to help specifically at the convention rather than on pre-convention work are excused from any activities requirements prior to the convention as long as they remain in communication with their department heads. We are not going to demand our volunteers treat this as a second job. Work on this convention is voluntary and charitable in nature. We want all of our volunteers to be able to have a good time as well!

(C) Volunteers are required to attend the convention unless circumstances exist that prevent attendance.

(D) Volunteers are required to work some hours at the convention itself in shifts. At full staff, there should be plenty of volunteers to make shifts comfortable and provide volunteers plenty of time to enjoy the convention off shifts.

Volunteer Benefits

CFC offers several benefits to our volunteers. In regards to the convention itself, we offer the following:

(A) Volunteers will receive a unique volunteer attendance badge, which provides free convention attendance as well as some sponsor tier benefits.

(B) Volunteers are guaranteed a slot in the room block. We encourage volunteers to room with other volunteers, but this is not a hard requirement. Volunteers are still required to pay the convention rates for their room. We might be able to provide a further discount on this for future years.

(C) Volunteers will receive a free staff shirt as well as some free merch.

(D) Volunteers will receive access to staff rooms and invite-only staff gatherings.

(E) Some internal events will be organized for different departments that will affect con themes and events.

(F) We are more than happy to be a professional reference for our volunteers upon request.
